QuickBooks is a great software that allows you to quickly print reports, invoices, bills, documents, files, forms, etc. There are a few instances where your QuickBooks won’t print or throw tantrums to print a document. It generally happens due to a printer issue or error in the program. Whenever you encounter such problems, you must check if your printer is printing other documents or facing a similar problem there! If your printer is at fault, then you must contact the printer technician. However, if the error occurs with QuickBooks only, you will need to take some specific measures.
Step 1. Restart your computer and printer. It will help you resolve technical errors or glitches. You may also try to print a test page.
Step 2. Now, try to print the QuickBooks file after renaming it to qbprint.qbp. If still, the QuickBooks would not print, then print a file with the same format. That way, you will get an idea about the leading cause of the problem. Also, make sure that you have updated your printer driver to the latest version.
Before you start troubleshooting
Check the following before you start troubleshooting.
Ensure QuickBooks is updated to the latest release.
Your computer is connected to the printer and that the printer software is installed.
For specific printing error messages, you may search the QuickBooks Support site for the exact error.
Step 1: Check your printer
To know if your printer can print outside of QuickBooks, use Notepad.
Select Start and browse to Notepad.
Enter some text and choose File, then Print.
Select the correct printer and select Print.
Step 2: If that didn't work, try...
If that print test didn't work, follow these steps. If it did work, go directly to Step 3.
Turn off the printer, restart your computer, and then turn the printer back on.
Make sure the printer paper is loaded correctly.
Select the Windows Start button, browse to the Control Panel, and double-click Printers and Faxes.
If the printer shows Offline, right-click the printer and select Use Printer Online.
Double-click the printer and if there are print jobs displayed in the queue, choose Printer, then Cancel All Documents.
Close the window.
Right-click the printer, choose Properties, and select Print Test Page.
Note: If the printer is a network printer and the test page does not print, network issues could be the cause.
Still not working? Try this...
Ensure that you have the latest printer drivers for your printer. Go to the manufacturer's web site to download and install the most current drivers.
Ensure that there are no error lights displayed on the printer itself.
Refer to the printer manufacturer's documentation for any of the following:
The printer displays error indications.
The printer will not print the test page.
The printer doesn't print from Notepad.
Step 3: If that did work, do this...
Use the QuickBooks Tool Hub
If you could print in Notepad, use the Print & PDF Repair Tool from the QuickBooks Tool Hub. This fixes most of the common printing issues.
Once it's done, try to print again.
Rename the file
If the tool doesn't work you can manually rename the QBPrint.QBP file.
Locate the QBPrint.qbp.
Windows 10, 8.1, and 8: C:\ProgramData\Intuit\QuickBooks 20xx
(20xx represents the version of your QuickBooks.)
Server 2008 and Server 2012: C:\Program Data\Intuit\QuickBooks YEAR and C:\Users\**remote user**\AppData\Roaming\Intuit\ YEAR VERSION\TSPrinterSettings
Note: Terminal Service users report finding duplicate copies of the Qbprint.qbp file with the stored client data files; double-check all folders for odd instances.
Tip: You might need to Display hidden files and folders or search for files using Windows to find these files in Windows.
Right-click the QBprint.qbp file for your QuickBooks version and select Rename.
Add the word old to the file name (i.e. QBPrint.qbp.old)
Open QuickBooks Desktop.
From the File menu, select Printer Setup.
Select any transaction in the Form Name list and select OK. This will create a new QBprint.qbp file.
Note: You don't have to do this for every transaction.
Try to open and print any transaction.
Step 4: If none of the above works verify the printer is the correct one
Still not printing? Verify that the printer is the correct one.
In QuickBooks, go to the File menu and select Printer Setup.
Choose the form you want to print.
Does the printer name match the exact name of the printer you are trying to use? If not, you’ll need to correct the setup within your computer’s Printer Setup first.
